Job Summary:
We are seeking a highly organized, detailed, and proactive Senior Executive Assistant to support our CEO, and will also support other executives in the company. This is a fully remote position, ideal for someone who thrives in a fast-paced environment, brings an executive acumen and sound judgment to every interaction and can operate effectively under pressure. The ideal candidate anticipates needs before they arise, exercises discretion with sensitive information and manages complex logistics with accuracy and ease. Flexibility is essential, as the role occasionally requires evenings and weekend availability to support time-sensitive priorities.
What You’ll Do:
- Serve as primary Executive Assistant to the CEO, reporting directly to them, with additional support to other members of the executive team as needed
- Manage complex calendars across multiple time zones, proactively resolving scheduling conflicts and prioritizing competing demands
- Book and coordinate travel, and help implement and maintain travel policies across the organization
- Own end-to-end Travel & Expense processes, including expense report preparation, submission and reconciliation
- Plan and coordinate conferences and events, including venue research, registration, scheduling and on-site logistics and support
- Coordinate materials and logistics for board meetings, including agendas and presentations
- Provide occasional off-hours and weekend coverage to support urgent needs and time-sensitive matters
- Anticipate needs, opportunities/risks early, and proactively propose practical solutions before issues arise
- Handle sensitive and confidential information with the utmost discretion and professionalism
- Take on ad hoc projects and cross functional initiatives that support broader corporate goals as business needs evolve
- Some travel may be required to support corporate offsites or events
What You’ll Bring:
- 10+ years of experience supporting C-Suite executives ideally in a fast-paced or high growth environment. Prior Public company experience a plus
- Proven success managing high volume calendars, complex travel logistics and shifting priorities under pressure
- Exceptional attention to detail and accuracy, particularly with managing multiple priorities, scheduling, travel arrangements, and confidential materials
- Strong judgment and discretion when handling sensitive information
- Outstanding written and verbal communication skills
- Ability to work independently, anticipate needs, and problem solve proactively
- Proficiency with Google Workspace products, Microsoft Office or comparable tools, with the ability to learn new systems as needed
- Familiarity with AI Tools (i.e. ChatGPT, Claude) to drive day to day efficiency
- Flexibility to accommodate occasional off hours or weekend work
Compensation and Benefits:
- Fully Remote, U.S. based position
- Flexible paid time off
- Base Salary: Targeting $150,000 annually, with final offer amount dependent on education, skills, experience, and location
