OVERVIEW

The Special Assistant to the President & CEO serves as a premier leadership partner, strategic ally, and primary operational gatekeeper within the ministry. This high-status position is designed for an assertive, decisive leader who commands organizational stewardship, directs executive logistics, and leads high-level project execution. You will govern the executive office's day-to-day operations, lead critical communications, and coordinate strategic ministry initiatives to maximize leadership efficiency and protect executive focus with absolute excellence.

EDUCATION, EXPERIENCE AND SKILLS REQUIRED

  • Operational Command: Advanced ability to lead complex schedules, orchestrate logistics, and coordinate multi-faceted workflows with high authority.
  • Strategic Leadership Communication: Exceptional verbal and written communication skills. Proven ability to lead discussions, brief senior leadership, and coordinate authoritatively with board members, major donors, and executive stakeholders.
  • Decisive Problem-Solving: High adaptability with a proven capability to lead through rapid changes, anticipate executive needs, and resolve complex organizational roadblocks under pressure.
  • Technical & Systems Proficiency: Strong command over office systems, data infrastructure, and foundational IT architecture to drive office efficiency.
  • Professional Discretion: Unwavering commitment to confidentiality, high emotional intelligence, and flawless execution when handling sensitive organizational data.
  • Experience: 5+ years of experience supporting C-Suite Executives, Senior Pastors, or equivalent organizational leaders in a directive capacity. Background leading initiatives in non-profit operations or faith-based environments is highly beneficial.
  • Education: Bachelor’s Degree in business administration, organizational leadership, non-profit management, or a related field of study preferred.

KEY RESULT AREAS

1. MINISTER OF THE GOSPEL & SPIRITUAL LEADERSHIP

  • The Special Assistant is first and foremost considered to be a Minister of the Gospel. This position actively furthers Mercy Street’s religious mission and spiritual impact by:
  • Spiritual Stewardship: Following Jesus Christ intentionally and setting a consistent, visible example of biblical leadership through their lifestyle.

  • Discipleship & Community Impact: Being ready, willing, and operationally equipped to explain the message of the Gospel, counsel, shepherd, and disciple the youth and families served by Mercy Street in a manner consistent with scripture.
  • Theological Integrity: Articulating and explaining Mercy Street’s core beliefs, doctrine, and Statement of Faith clearly and confidently to families, staff, and external partners.
  • Ministry Mobilization: Leading or contributing dynamically to distinctly Christian organizational activities, including staff chapel, prayer, and worship gatherings.

2. EXECUTIVE SCHEDULING, LOGISTICS, AND OFFICE STRATEGY

  • Strategic Calendar Command: Lead, adjust, and optimize executive calendars; deliver rapid, clear communication to coordinate scheduling across all key stakeholders.
  • Briefing & Meeting Strategy: Spearhead leadership requirements by researching relationship histories, drafting concise agenda summaries, and compiling necessary executive briefs to prepare the President for all engagements.
  • Donor & CRM Management: Lead the data logging process to ensure critical outcomes and summary records from executive meetings are accurately captured in the Donor Management Database.
  • Travel Logistics Execution: Coordinate and oversee all phases of domestic and international travel logistics, creating seamless itineraries for business and ministry trips.- Executive Workspace Readiness: Direct and maintain a highly organized, professional, and functional executive office environment.
  • Communications Management: Review, summarize, and prioritize executive correspondence; lead responses to critical emails as directed.
  • Meeting Oversight & Deliverables: Attend critical meetings alongside the President & CEO to capture action items, document notes, and aggressively track participant deliverables.

3. EXECUTIVE RELATIONSHIP STEWARDSHIP & REPRESENTATION

  • Priority Alignment: Provide high-level tactical support by filtering and prioritizing correspondence to reflect immediate organizational goals and ensure timely follow-up.
  • Ambassadorship: Represent the ministry with a high level of professional polish, integrity, and organizational excellence in all interactions, appearances, and communications.
  • VIP Hospitality: Coordinate on-site visits, protocols, and high-level hospitality for guests, donors, and partners of the President & CEO.
  • Digital & Web Presence: Manage and optimize the President's professional online and social media presence, collaborating with the Marketing team to audit and update the organization’s website as required.

4. OPERATIONAL DELIVERABLES & SPECIAL PROJECTS

  • Proactive Project Execution: Provide value-added administrative and operational support, driving assigned tasks to completion ahead of deadlines.
  • Special Initiative Management: Plan, direct, and execute high-level special projects from conception to completion.
  • Financial & Expense Administration: Manage the swift tracking, submission, and reconciliation of executive expenses, invoices, and payment requests in strict alignment with financial standards.
  • Executive Documentation: Author, design, and refine high-quality presentations, official letters, strategic reports, and organizational documents.

5. BOARD OF DIRECTORS GOVERNANCE & COORDINATION

  • Board Meeting Logistics: Lead and oversee all logistical operations for board meetings, including venue procurement, catering, audio/visual setup, and materials distribution.
  • Governance Support & Records: Facilitate board activities with strict confidentiality; record attendance, produce precise board minutes, and maintain yearly regulatory compliance documents.
  • Corporate Archive Management: Protect, organize, and maintain all corporate artifacts, including ministry By-Laws, Board Reports, and secure electronic/hard-copy file structures.
  • Executive Summaries: Direct the timely compilation and quality control of Board Reports and Executive Summaries, ensuring polished assets are distributed strictly on schedule.
  • Onboarding: Create, update, and deploy professional Board Orientation Packets for incoming board members.

6. INTER-DEPARTMENTAL LEADERSHIP & STAFF ENGAGEMENT

  • Cross-Functional Support: Identify operational bottlenecks and deploy clerical or general office support to other ministry departments when needed.
  • Operational Delegation: Exercise delegated authority from the President or Senior Leadership to assign tasks and responsibilities to staff members to keep projects moving forward.
  • Talent & Event Strategy: Partner with Operations and Human Resources to plan, recruit for, and execute staff-wide special events and strategic initiatives.
  • Team Development: Collaborate with HR to design and facilitate team-building events, training sessions, and organizational culture initiatives that reinforce core ministry values.

7. STRATEGIC COHESION & ASSIGNED DUTIES

  • Committee Representation: Serve actively on designated committees, contribute to staff functions, and participate in leadership meetings.
  • Culture Building: Drive organizational morale, cross-department collaboration, operational alignment, transparency, and trust throughout the ministry.
  • Adaptive Execution: Execute critical tasks, emergent projects, or temporary organizational roles as assigned by the President & CEO.
