Position Summary
We are seeking an organized, proactive, and detail-oriented Executive Assistant for one of our clients to provide administrative and operational support within a growing organization. This role will assist with day-to-day operations, project coordination, scheduling, documentation, vendor communication, and process improvement.
The ideal candidate is comfortable managing multiple priorities, coordinating with internal and external partners, and supporting projects from planning through completion.
Key Responsibilities

Provide administrative and operational support to organizational leadership

Manage calendars, appointments, meetings, and scheduling needs

Coordinate meetings, travel arrangements, events, and related logistics

Support new location openings, expansion efforts, and other operational projects

Assist with project coordination involving vendors, facilities, procurement, and other operational needs

Prepare, edit, and maintain documents, reports, correspondence, and project records
-
Maintain organized electronic files and operational documentation
-
Coordinate communication with vendors, suppliers, contractors, and service providers
-
Support inventory tracking, ordering, receiving, and general procurement activities
-
Assist with expense tracking, invoice processing, and recordkeeping
-
Attend meetings, document key discussions, and track action items and deadlines

Assist with staffing coordination, scheduling, onboarding, and training logistics
-
Maintain and communicate operational policies, procedures, and documentation
-
Support compliance with applicable operational, safety, and regulatory requirements

Identify and recommend opportunities to improve processes and operational efficiency

Support the planning and execution of company events and team activities

Assist with special projects and organizational initiatives as assigned

Perform other duties as needed to support organizational goals and business objectives
Requirements
Education
-
High school diploma or GED required
-
Bachelor’s degree preferred
Experience
-
Minimum of 2 years of professional administrative, operations, or coordination experience
-
3+ years of experience supporting operations within a fast-paced, multi-location, or service-based organization preferred

Experience supporting new locations, expansion projects, or other operational initiatives preferred
-
Proficiency with Google Workspace and Microsoft Office

Experience with project management or workflow management platforms preferred

Strong interpersonal skills with a professional demeanor
Knowledge & Skills

Ability to effectively manage multiple priorities, projects, and deadlines

Strong organizational skills and attention to detail

Basic knowledge of expense tracking, invoice processing, or bookkeeping preferred

Experience working with operational policies, procedures, or regulatory requirements preferred

Ability to coordinate effectively with internal teams, vendors, contractors, and external partners

Strong written and verbal communication skills

Ability to work independently, exercise sound judgment, and follow through on responsibilities
