Oil States is currently looking for qualified candidates for the position of Administrative Assistant - Expeditor.

POSITION SUMMARY:

Provide administrative support for Engineering department with focus on the Manufacturing group within the Engineering department. Assist Document Control in typing, formatting, correcting, and controlling documents while also helping to create new documents when necessary to maintain project schedules and needs. 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Support the Engineering department with clerical tasks and material control functions
  • Enter and process Transfer Orders and requisitions in Glovia
  • Generate documents for new projects.
  • Format documents and make appropriate changes.
  • Create and edit organization charts and flowcharts.
  • Update Master Control documents.
  • File and store obsolete documents.
  • General clerical duties.
  • Maintain engineering library books, articles, engineering reports, customer documents and the electronic databases of these materials.
  • Assist managers with monthly expenses, statements, office supplies, and minor equipment
  • Handle drawing/document flow through Master Control for the Manufacturing group
  • Collaborate with project engineers, technical writers and drafters to release manufacturing drawings and documents to meet project target dates.
  • Track and expedite tooling/equipment purchases
  • Coordinate standard equipment/tooling shipments with the Shipping/Receiving department
  • Maintain project documentation and extensive recordkeeping as required by the customer or managers
  • Help groups within the Engineering department in order to maintain project schedules. This may involve creation of new documents, following document approvals within the company, interfacing and coordinating with other groups within the company and/or compiling data to support decision making
  • Perform other duties as assigned by supervisor

QUALIFICATION REQUIREMENTS:

  • High school diploma or equivalent.
  • At least 2 years of experience in document control and/or general office experience.
  • Strong computer skills with proficiency in Word and Excel
  • Proficiency using an ERP system is preferred, Glovia a plus.
  • Working knowledge to review and print drawings in AutoCAD and Solid Works
  • Adept at handling multiple tasks
  • Excellent Organization Skills
  • Detail oriented

PHYSICAL REQUIREMENTS:

  • Use of a computer, telephone and other office equipment (scanner/copier/printer/fax machine, etc.)
  • Prolonged sitting.
  • Occasional bending, stooping, reaching, climbing stairs
  • Occasional lifting up to 15 pounds

CITIZENSHIP REQUIREMENTS – 

By contractual requirements this position requires that all persons establish proof of US Citizenship.  Dual Citizenship (US citizenship and citizenship of some other country) cannot be accepted.  You will be required to provide original or certified copies of documents establishing your citizenship prior to consideration for this position.
